Follow the instruction below to permanently delete old unnecessary emails.

How To ( Mail)

Follow the steps and screenshots below, to control your inbox clutter.

  1. Open Mail on your computer.
  2. Click on Mailbox > New Smart Mailbox...
  3. Enter Has Attachments as the Smart Mailbox Name:
    Contains messages that match ALL of the following conditions:
    Contains attachments
    Includes messages from Trash (uncheck)
    Includes messages from Sent (check)

  4. Click OK
  5. Now on your sidebar, you should have a section titled Smart Mailboxes. You will see your new one called Has Attachments. Click on it.
    If you do not see this sidebar, click on the icon with text in the toolbar that reads Mailboxes. The sidebar will slide out.
  6. Right click (or Command ⌘ + click) on the toolbar to open up your mailbox headings. Click Size.
  7. Click on size to sort your emails by file size.
  8. Start from top to bottom removing any emails that you no longer need. Click the DELETE button to delete the email. DO NOT ARCHIVE , this just moves them around on the server but does not get rid of them.
  9. To ensure emails are permanently deleted from the server. Open up Mail settings. Click on Mail at the top of your screen (next to the logo). Click on Preferences...
  10. Click on the Accounts tab at the top of the new window.
  11. Click on your AKT email account (if you have multiple accounts, make sure you do steps 9 - 15 for all of them).
  12. Click on Mailbox Behaviors tab within the Account tab.
  13. Under the Trash heading, the choose in the dropdown for Permanently erase deleted messages when: Quitting Mail
  14. Close this window (save changes if it pops up).
  15. When you are done deleting old unwanted emails, quit Mac Mail to permanently delete your Trash emails.

So, since we are not windows people, use the button below to find a tutorial on setting up "Search Mailboxes" on Windows Outlook.

It's ok, take a deep breath, it happens to the best of us.
Follow these steps below keep your inbox clean and organized.

1) I really need all these meme emails.

No you don't. Stop it!  ಠ_ಠ

2) I need this 10MB in my email for a project I am working.

If you are using your email inbox as a file organizer, you're doing it wrong. We have an internal server for a reason. What's that reason you ask? To keep things ORGANIZED!
Ask your supervisor on how to use our internal server. This way you do not need to rely on your email to read that 10MB PDF file. You're better than that.

3) I will die if this 2 year old email is deleted.

First off, did you know that 2 year old email existed?? I highly doubt it. With all forms of communication (phone, email and go ole face-to-face method) it is probably missing some vital information anyways. It's just taking up space and makes searching harder for you. Do us all a favor, delete it.

4) I email large files, my job demands it.

You know what? You might be right on this one. But, wait... we have these new things called DropBox or BlackArmor. Yeah, they are really cool! They can hold large amount of files organized in folders.
You know what they really cool thing is.....here I will tell you.....IT DOES A BETTER JOB ORGANIZING DOCUMENTS THAN EMAIL EVER WILL!

5) I didn't know we had alternative places to store files.

Talk to your supervisor, they can assist you on organization and usage. They won't bite, promise.
